Transfer Evaluation System (TES)

What is TES

The Transfer Evaluation System (TES) is a product by CollegeSource and houses all UC Davis faculty-approved transfer course equivalencies. As the publicly-accessible repository for campus, TES can be leveraged by our advisors, students, prospective admits, UC/CSU advisors, and many others. Using TES is also a way for the Office of the University Registrar to record approved courses in the Student Information System (Banner). Having approved courses in Banner allows for future student records to automatically load equivalent course information without manual intervention and appropriately displays these courses on transcripts, in OASIS, etc.

  • Scope of TES

  • TES is a centralized repository for equivalency data to better the student and advising experience, while providing a critical resource for prospective admits and those aiding them.

    What TES is not for:
         •   Articulation agreements or information duplicated on ASSIST.org (see Articulations vs. Equivalencies drop-down section).
         •   One-off equivalency decisions or otherwise equivalents not approved for all students.
         •   Petition or decision denials.
         •   Conditional equivalency rules; e.g., only for certain majors.
         •   Document management system; the OUR will store any relevant materials in OnBase; e.g., faculty approvals.

    TES User Disclaimer. The information provided in TES is meant as a guide for transferring courses to UC Davis within the stipulated dates of when the class(es) were taken; i.e., Begin/End dates. Data presented in this resource does not 1) guarantee course transferability or record outcomes, 2) supersede UC or UC Davis-specific evaluation regulations, or 3) override appropriate evaluator or faculty decisions. Lastly, TES is a dynamic system that is constantly being updated and improved; delays in data changes can arise, so check back as needed for up-to-date equivalency information.

  • Articulations (ASSIST) vs. Equivalencies (TES)
  • Agreements between UC Davis and California Community Colleges (CCC) are called Articulations which are overseen by the Articulation Officer and displayed on ASSIST.org. Separately, TES is a tool overseen by the OUR and stores Equivalency information between UC Davis and other non-CCC accredited institutions. 
  • Why TES?
  • Here are a few of the benefits of TES:
            A simple way to navigate the public-facing page for searching equivalencies.
            ADA-compliant & mobile friendly.
            An online vendor product hosted on their servers which reduces costs and the amount of UC Davis resources needed.
         •   The only solution in the world to leverage institutions' catalogs from across the globe; over 164,000 of them!

            Only TES can automatically alert UC Davis when courses within an equivalency rule have changed (i.e., units, titles, pre/co-requisites, and descriptions) to initiate a review.
            Integrates well with the OUR's processes of building and maintaining equivalency rules.
  • Process to Add/Edit/Remove Equivalencies in TES
  • To add equivalency information in TES, email the OUR Transfer Credit Team and provide the following information (or utilize this template by copy and pasting into an email):
       1   Name of sending institution.
       2   Incoming course(s) with UC Davis equivalent(s).
       3   Date/term the equivalency begins.
       4   Confirmation equivalent is campus-wide for all students.
       5   Approval from appropriate faculty member; e.g., signed form/petition, email approval, etc.
       6   Optional: provide us with an end date/term.

    NOTE: Should an end date/term not be provided, the OUR assumes a 5-year lifespan as a default before requiring it to be reviewed again. This best practice ensures students are being awarded appropriate credits through time. If faculty want a lifespan that is shorter, longer, or perhaps not have one at all, the OUR needs that stipulated in the approval requirement (step 5, above). 

    If you find an error on TES or perhaps faculty wants an existing rule altered in any way, contact the OUR Transfer Credit Team and provide the necessary information so the system can be updated as soon as possible. 

    The resulting additions, updates, and removals are then reflected in the transfer credit system (Banner) so that student records are automatically correct going forward. Without the OUR being informed of equivalency information changes, neither TES nor the student information system can be updated and requires manual corrections on a per-student basis. For record keeping, all approval documentation are stored in OnBase.

     •  Find an equivalency.
         •  Scroll through the list, search an institution by name, or click on the alphabetical heading.
         •  Click the arrow box or the school's name.
         •  To find the incoming course, either scroll through the list or use the search feature.
         •  Double-check the dates an equivalency was approved for (i.e. Begin and End date) as this determines if the equivalency rule is applicable based on when the incoming course was taken. 
         •  Optional: To see catalog information, simply select the light blue arrow box to the left of the equivalency.
